Contract Price List Management

Complete Control Over Contract Prices

The solution enables centralized management, import, and monitoring of suppliers’ contract price lists and provides a complete overview of price validity and changes. Through the integration between the document management system (DMS) and the PANTHEON ERP system, all price lists are securely archived, and the data is always available for review and analysis.

Digitalized Price List Management Process

The system supports the entire lifecycle of supplier contract price lists:

  • receipt of the price list from the supplier,
  • archiving the original document in the DMS,
  • automatic import of structured data into PANTHEON,
  • monitoring the validity period of price lists,
  • monitoring changes in contract prices.

In this way, the company ensures consistent control over purchase prices, reduces the likelihood of billing errors, and improves operational transparency.

Overview of the Validity of Contractual Price Lists

Users can view all sales and purchase price lists for selected items and business partners in one place and check the validity of prices as of any date.

Advanced Data Filtering

You can search for and view data using filters for:

  • effective date,
  • business partner,
  • article,
  • item classification,
  • price list type (sales or purchasing),
  • price list status (active, expired, or all).

Key Information on a Single Screen

For each price list, the following information is available:

  • business partner,
  • the item code and name,
  • item classification,
  • price list type,
  • contract price and currency,
  • period of validity,
  • price list status,
  • date of the last update.

This allows for quick verification of contract prices and an effective comparison of sales and purchasing terms.

Contract Expiration Notices

The system automatically alerts you to price lists and contracts that are about to expire.

It is possible to track contracts that expire in the following:

  • 30 days,
  • 60 days,
  • 90 days.

This gives the purchasing and sales departments enough time to prepare for new negotiations, extend contracts, or adjust prices.

Easy Data Export and Sharing

Reports and reviews can be exported in various formats:

  • Excel (.xlsx),
  • PDF,
  • CSV,
  • direct delivery via email.
