What types of eDocumentation are available?

Types of storage available:

eDocumentation provides secure cloud-based storage for your documents.
Certified eDocumentation is an extension and enhancement of this method of document storage. In it, documents are stored with an audit trail that ensures the traceability of user activities when managing materials. In addition, they are time-stamped upon document entry, which means they are legally compliant. The solution is certified by the Archives of the Republic of Slovenia.

We recommend combining eDocumentation and Certified eDocumentation — store legally required documentation in Certified eDocumentation, and use standard eDocumentation for storing commercial and technical documentation as well as mail records.

eDocumentation

Companies can effectively address document management challenges with PANTHEON eDocumentation. Within the PANTHEON system, you can store:

incoming and outgoing mail
all accounting documentation (ledger reports, year-end statements, reminders, etc.)
commercial documentation (e.g. contracts, annexes, etc.)
technical documentation (e.g. user manuals, warranty documents, etc.)

eDocumentation enables easy document retrieval and processing thanks to the integrated PANTHEON workflow. Another major advantage is the ability to easily search for all documents using various criteria.

Certified eDocumentation

Certified eDocumentation is a storage solution that digitally signs and time-stamps a document upon saving, then stores it in an archive and creates a backup copy. If you use Certified eDocumentation and have defined archiving procedures, you can eliminate the physical archive at your company and destroy the physical documents. Since certified storage is significantly more expensive due to its technological requirements, we recommend that you store only those documents for which storage is required by law (e.g., e-invoices, accounting documentation, contracts, etc.).

Where can I find instructions for using eDocumentation?

Instructions for using eDocumentation are available on the PANTHEON usersite or via a dedicated link. They include detailed written guides and additional information that walk you through individual features step by step.

How much storage does an average e-invoice require?

The size of an e-invoice depends on how the PDF document is generated, the graphical elements used (e.g. logo), and the number of pages. An e-invoice created in PANTHEON (single page with logo) typically requires around 20 kB of storage.

How are existing documents transferred to eDocumentation?

Documents can be transferred from the PANTHEON database or uploaded manually. The transfer method depends on the volume and structure of documentation, so we recommend consulting support.

How are documents protected?

Documents are stored in a secure environment with controlled access. Access is restricted based on user permissions within the PANTHEON system.

Can documents be exported from eDocumentation?

Yes. Documents can be exported together with metadata, allowing further use or archiving outside the system.

What happens to documents when the service is terminated?

Document export is available before the subscription is terminated. We recommend preparing the data transfer in a timely manner.

Does eDocumentation replace DMS?

No. eDocumentation is primarily intended for document storage, while PANTHEON DMS provides broader document management, including classification, workflows, and control over document circulation.
